Community Funding Program grant conditions

The grant recipient/s agree:

  1. That all grant funds are to be used for the specific purposes for which they are approved as specified in writing by the Queensland’s 150th Celebrations Unit (Q150).
  2. That the project will be completed by 31 December 2009.
  3. That the event will have appropriate insurance cover (if applicable), including at least $5 million cover for public liability, and a copy of the certificate of currency or the insurance policy will be provided to Q150 within two weeks of the funding approval unless previously provided.
  4. That they will obtain all appropriate documentation; eg: permits and approvals relating to the project for which the grant has been awarded.
  5. That they must advise the Q150 Grants Administrator of any changes to the organisation’s details (executive personnel, address, contact numbers, etc) within 14 days of such change occurring. This also applies to the auspicing organisation’s details should they change.
  6. That the approved auspicing organisation must remain the auspicing organisation for the funded event’s duration or until a new auspicing organisation is approved by Q150.
  7. That they release, indemnify and hold harmless the Queensland Government, its employees, contractors and agents (“those indemnified”) from and against any loss, expenses, damages, costs and any indirect or consequential loss or damage sustained as a result of the Grant Recipient’s event and whether incurred by or awarded against those indemnified caused by any negligent act or omissions or wilful misconduct of the Grant recipient, the Auspicing Organisation, its directors, officers, employees, contractors or agents.
  8. That a Project Progress Report may be requested by the Q150 Unit to be completed and returned within 14 days of receiving the template from Q150.
  9. That they will acquit the grant by 28 February 2010 or within 8 weeks of completion of the project, whichever is sooner.
  10. That the Grant will be deemed to be acquitted following:
    • the satisfactory completion of the Q150 Acquittal form signed by the accountable officer of the organisation and/or it’s nominated auspicing organisation;
    • the return of any unspent funds;
  11. That if the project is cancelled, the Grant Recipient/s will inform Q150 in writing, and return unspent funds immediately.
  12. To retain all relevant records for a period of seven years and allow the Department of the Premier and Cabinet to inspect these records if required. Q150 may also undertake random audits of funded projects.
  13. That all project promotional materials clearly acknowledge the assistance provided by the Q150 Unit and the Queensland Government, as described in the Q150 Community Funding Guidelines and Q150 Logo Style guide available at www.q150.qld.gov.au, and the attached Acknowledgement Protocol.
  14. That all media materials, reports and other resources submitted as part of the acquittal process may be used by Q150 for promotional or other purposes.
  15. To ensure that the State is granted an appropriate licence to use, reproduce and communicate to the public any works produced as a result of the project.
